Changing Your Plan or Seats

Walks through how to use the Manage Plan tab in Settings — for switching plans, changing how often you're billed, and growing or shrinking your team.

Before you start

  • You need to be the Owner of your organisation. Admins can't make billing changes.
  • For the policy on when changes take effect (immediate vs end-of-period), see How billing works. The TL;DR: increases apply now with proration; decreases apply at the next renewal so you keep what you paid for.

Open Manage Plan

Settings → Manage Plan.

You'll see, top to bottom:

  1. Any launch offer banner that's currently running — codes apply automatically when you pick the matching cadence.
  2. Your current plan card — what you're on, your next charge date, and a link to Stripe to manage your card or receipts.
  3. The Pay toggle (Monthly / Annual −25%) and Users slider.
  4. A Have a promo code? field.
  5. Three plan cards — Lite, Standard, Pro — each showing what they'd cost you at your selected user count and cadence, the full feature list, and a button.
  6. An Enterprise contact card if your needs go beyond Pro.

To change plan

  1. Set the Pay toggle to monthly or annual — whichever you want.
  2. Set the Users slider to your team size (or type a number directly in the box).
  3. The three plan cards now reflect the price for that combo.
  4. Click the button on the plan you want — its label tells you what'll happen:
    • Subscribe to {Plan} — you're on a trial, this converts you to paid.
    • Switch trial to {Plan} — you're on a trial, this swaps the plan you're trialing (no payment).
    • Switch to {Plan} — you have an active subscription, this changes which plan you're on.
    • Stay on plan — this is your current plan and nothing's changed.
  5. If you're going up a plan: Stripe charges the prorated difference now and your features upgrade immediately.
  6. If you're going down a plan: a scheduled message confirms the switch will happen on your next renewal date — you keep your current plan's features until then.

To add seats

Drag the Users slider to your new team size. The plan cards update in place — including a refreshed per-user rate.

If your selection is in a higher tier than what you're currently on, the button on your current plan changes to Add seats. Click it.

  • For active subscribers: Stripe charges the prorated difference for the rest of your period and the new tier kicks in immediately.
  • For trialing users: the slider just affects what each plan would cost you on the cards — there's no charge until you subscribe.

To reduce seats

Same flow, slider in the other direction. The button changes to Reduce seats. Click it.

The change applies at your next renewal — you keep your existing seat capacity through the period you've already paid for. The price drops at the start of the next period.

You can't reduce below your current active user count — if you have 30 active users, you can't drop to a 20-user tier without removing people first. The slider warns you when you've gone too low.

To switch between monthly and annual

Toggle between Monthly and Annual −25%. The cards re-price.

  • Monthly → Annual on the same plan: usually saves money per-month, treated as a downgrade in monthly-cost terms — applies at next renewal.
  • Annual → Monthly on the same plan: per-month cost goes up; the change is queued for the end of your annual period.

To use a promo code

Type or paste it into Have a promo code?. If a launch offer is active and you haven't typed anything, the matching code is auto-filled for you.

  • Codes are NOT case-sensitive — launch30   and LAUNCH30   both work.
  • The hint under the field tells you if your code only applies to a different cadence.
  • The discount appears on the plan cards as a struck-through full price plus the new effective price and the savings amount.

If the code doesn't apply to a plan, the discount won't show on that card.

To cancel

Scroll to the bottom of the Manage Plan tab. Cancel subscription via Stripe portal → opens the Stripe Customer Portal in a new tab. Click Cancel plan, confirm, and you're done.

Cancellation takes effect at the end of your current billing period — you keep access until then. After that you have 3 months of read-only access to your data before it's archived.

If you change your mind in the read-only window, reactivate from Manage Plan and your data picks back up.

Common questions

Will my billing date change? No. Stripe keeps your billing anchor across all changes — proration handles the price difference.

What if my downgrade is supposed to kick in but it hasn't? It applies the moment Stripe charges your next invoice (your usual billing date). If a day's gone past and nothing's changed, the easiest sanity-check is your Billing History tab — the most recent invoice will be at the new (lower) price.

Can I cancel a scheduled downgrade? Yes — open Manage Plan and pick a different option (e.g. switch back to your current plan). The most recent change you make wins.

Where do I see the receipt for a proration charge? Settings → Billing History — each invoice has a "View" link to the hosted Stripe page and a "PDF" link for your records.
