Adding an AI Tool

The AI Tools page is where you tell The GAiGE which AI products your organisation pays for or uses. Every tool you add becomes a candidate for pulses.

To add a tool

  1. Go to AI Tools in the top nav
  2. Click + Add Tool
  3. Fill in the form (see fields below)
  4. Click Add Tool

What each field means

Tool name — what you and your team call it (e.g. ChatGPT, Claude, GitHub Copilot). Shown on the dashboard and in pulse questions.

Vendor — the company behind the tool (e.g. OpenAI, Anthropic). Useful when several tools come from the same vendor.

Description — optional. Shown to users in the extension popup so they know what the tool is.

Tool website(s) — comma-separated list of domains. The Chrome extension watches for visits to these and triggers pulses. For ChatGPT, that would be chat.openai.com, chatgpt.com. Get this right — if the domain doesn't match the URL the user is on, no pulse will fire.

Tool logo URL (optional) — a URL to the tool's logo image. Shows up in the extension popup, dashboard, and tool cards. If you leave it blank we'll just show the tool name.

Cost per seat per month — what you pay each user, each month. Optional but highly recommended — without it, ROI is hidden everywhere. See Setting tool costs and why it matters.

Browser-based tool — leave this checked for anything that runs in a browser tab. Untick it for desktop apps or tools accessed outside the browser.

Category — optional free-text label for grouping similar tools (e.g. Productivity, Creative, Development).

After you've added the tool

You'll need to assign users to it. The tool won't show pulses to anyone until at least one person is assigned. You can assign:

  • Individuals — pick from a dropdown
  • A whole group at once — useful when "Engineering" gets GitHub Copilot
  • (Coming soon) in bulk via CSV

The number of users you assign becomes the seat count for that tool. Combined with the cost per seat, this is what we use to calculate monthly cost — so a tool with 30 assigned users at $30/seat costs $900/mo in our reports, regardless of what you might be paying Anthropic or OpenAI directly. Keep assignments accurate and the numbers will be honest.

Editing a tool

Click the tool's row on the AI Tools page, then Edit. All fields are editable, including cost per seat. Changes apply immediately to the dashboard and reports — historical responses are unaffected.

Removing a tool

Same place, click Delete. We'll keep the historical responses (so your reports still show context for prior periods), but no new pulses will fire.
